Quotations & invoices

The money-in side of the ledger: quotations that become invoices, and the supporting documents that go with them.

Quotations

Create, track and convert quotations under Admin → Quotations (/dashboard/quotations).

  • Create — add a quotation with line items, a client, prices and optional attachments.
  • Search & filter — filter by status, client, date range; sort any column.
  • Statuses — draft, sent, accepted, declined, expired and overdue.
  • Overdue tracking — quotations past their validity date are flagged with a badge in the sidebar.
  • Convert to invoice — one action turns an accepted quotation into an invoice, copying line items and client details.
  • Duplicate — reuse a quotation as the starting point for a new one.
  • Email — send the quotation by email using the built-in templates; clients can view it via a shared link.
  • Public share — quotation share links can be opened by clients without signing in.

Invoices

Manage the full invoice lifecycle under Admin → Invoices (/dashboard/invoices).

  • Regular and recurring invoices — tabs separate one-off invoices from recurring ones.
  • Create — line items, client, payment terms, attachments.
  • Statuses & stats — draft, sent, paid, partially paid, overdue; the page shows summary cards and overdue badges.
  • Record payments — payments attach to an invoice and appear in the transaction ledger.
  • Email invoices — send via built-in templates with a public view link.
  • Convert to credit note — reverse an invoice into a credit note when needed.
  • PDF — download the invoice PDF for your records or the client.
  • Invoice documents tab — attachments, delivery notes and related documents per invoice.

Invoice documents

One page powers five document types (Admin → invoice documents, switched by type):

Each document can be generated, emailed to a client or supplier, and downloaded.

Workflows

  1. Quote → invoice: quotation accepted → convert → invoice sent → payment recorded.
  2. Invoice → credit note: overcharge or return → convert to credit note → refund pipeline (see Banks, loans & refunds).
  3. Stock-aware quoting: quotations can be priced from real stock levels (see Products & catalog).
